ASECS Town Hall, August 18, 4:00–5:30pm ET

Procedural Notes: Zoom connection information was emailed to registrants on Wednesday, Aug. 18, around 1 hour before the Town Hall start time. Here are some procedural notes for the event:


1) We are not recording this meeting. Attendees should also not record any portions of this meeting.

2) We are using Otter.ai for live captioning. When you join the meeting, you will see a notice that the meeting is being “live streamed.” Please note, this is just an artifact of using Otter.ai, and we are not streaming the meeting live for non-attendees to view. There will be a button on the top left of your Zoom window that says “click here to open transcript,” which will take you to the live transcript on the Otter.ai website. You will be prompted to make a free account, but you do not need to create an account to view the transcript. This service came recommended as a better alternative to Zoom’s built-in live captioning. It also keeps transcriptions anonymized, unlike Zoom’s built-in CC tool. Unfortunately, there is no way to enable auto-captioning tools while in breakout rooms.

3) Your microphone will be muted upon entry to the Zoom meeting, and you will not be able to unmute during the set of presentations listed under Part 1 of the agenda. However, the chat will be open during those presentations. We are keeping participants muted for Part 1 because we expect over 200 attendees and want to limit distractions caused by accidental unmuting and the like. Participants will be able to unmute themselves in the breakout room discussions.

Town Hall Announcement:

We invite you to join us for a virtual Town Hall that will take place on Wednesday, August 18 from 4-5:30 pm EDT. The event is designed to provide information about the Society and its governance, as well as to discuss equitable opportunities for members to get involved and propose actionable change. More broadly, we want to have an inclusive conversation about who we are as a community, who we would like to be, and how we might get there.

 

We are trying to gauge the number of attendees to determine the most effective format and finalize the agenda. Please RSVP by no later than July 20 if you plan to attend, and we will follow up with details soon after. (Members will still be able to register and attend after this date, but this will help us plan.) You can respond by adding your name to this google form, and if you have any comments or suggestions, please feel free to write to this address: asecstownhall@gmail.com.
